Storage and deleting files
The storage meter. On the right of the media library toolbar sits a small bar reading used space over your total allowance, for example "412 MB / 2 GB". It updates immediately after every upload and every deletion. The allowance is set for your workspace, so what you see there is your real limit.
Two things can block an upload
- The file is too big on its own. You get "Upload failed, the file is larger than the server allows." Compress the file or export it at a lower bitrate, then try again.
- You are out of space. You get "Storage limit reached, delete some files to free space." Deleting frees the space right away.
If your workspace runs on a plan with its own storage cap, the tighter of the two limits applies and the message will name it.
Before you delete, check where the file is used. Open the "…" menu on the row and choose Delete file. The confirmation dialog checks your settings and, if it finds the file in use, shows a line reading Currently in use: followed by the places, then "Deleting will remove it from there too."
The places it detects and cleans up for you are:
- Site SEO image
- Marketing logo
- Blog SEO image
- Favicon
- Brand logo
- Header logo and Footer logo, named per header and footer set
- Profile picture
Those references are cleared automatically as part of the deletion, so none of them is left showing a broken image.
What is not checked. That list covers settings and branding fields only. It does not scan your pages, email campaigns, product thumbnails, lessons, downloads or communities. If a file is placed in a page or an email, deleting it leaves a broken image there, and nothing warns you.
So the safe order is:
- Search the file's name in your library and note what it looks like.
- Replace or remove it in any page, email, product or lesson that uses it, using the picker's Remove current. See Using media across the workspace.
- Then delete it from the library.
Deletion is permanent. The dialog says "This action cannot be undone", and it means it. The file is removed from storage as well as from the list, so there is no recycle bin and no restore. If you only want to tidy up, use tags and lists instead of deleting. See Uploading and organising media.
Getting a copy first. If you are unsure, use Download in the same menu to save the original to your computer before you delete it.
